This User Consent Notice explains what you are agreeing to when you sign up for VeetFlow's services, join our waitlist, or use our platform. By checking the consent box and clicking "Submit," "Sign Up," or "Join Waitlist," you confirm that you understand and agree to the following terms.

This notice is designed to comply with data protection laws, including GDPR, PDPA, and CCPA, which require us to obtain your informed consent before collecting and processing your personal data.

What You Are Consenting To

By submitting this form, you consent to the following:

1. Collection and Processing of Your Personal Data

We will collect and process the personal information you provide, including:

  • Your name
  • Your email address
  • Your company or business name (if provided)
  • Any other information you voluntarily submit through forms or communications

Purpose: We collect this information to:

  • Provide you with access to VeetFlow's AI-powered customer service chatbot platform
  • Communicate with you about your account, subscription, and support requests
  • Send you service updates, security alerts, and billing notifications
  • Notify you when our services become available (if you're on the waitlist)
  • Improve our services based on your usage and feedback

2. Use of Cookies and Tracking Technologies

We use cookies and similar technologies to:

  • Remember your preferences and settings
  • Analyze how you use our website and services
  • Provide a personalized user experience
  • Ensure security and prevent fraud

3. Communication and Marketing

  • Transactional Emails: Account confirmations, password resets, billing receipts (you cannot opt out of these)
  • Service Updates: Important updates about our platform, new features, security alerts (you cannot opt out of critical service updates)
  • Marketing Emails: Product announcements, promotional offers, newsletters (you can opt out at any time via the unsubscribe link)

Your Choice: You can unsubscribe from marketing emails at any time. We will continue to send you essential service-related emails.

4. Data Sharing with Third Parties

We share your data with trusted third-party service providers to operate our platform, including:

  • Payment Processors (Stripe) to process payments securely
  • AI Service Providers (OpenAI, Google AI, Anthropic) to power chatbot functionality
  • Cloud Infrastructure Providers to host and store data securely
  • Email Service Providers to send communications
  • Analytics Tools (Google Analytics) to understand service usage

These third parties are contractually obligated to protect your data and use it only for the purposes we specify. See our Privacy Policy for a complete list.

International Transfers: Your data may be transferred to and processed in countries outside your own, including the United States. We ensure appropriate safeguards are in place, such as Standard Contractual Clauses (SCCs), to protect your data during international transfers.

5. Data Retention

We will retain your personal data for as long as:

  • Your account is active, or
  • Necessary to provide services to you, or
  • Required by law (e.g., financial records for 7 years)

When you delete your account, we will delete or anonymize your data within 90 days, except where we are legally required to retain it longer. See our Data Retention & Deletion Policy for details.

7. Agreement to Terms of Service and Privacy Policy

By checking the consent box, you also confirm that you have read, understood, and agree to be bound by:

Important: Please read these documents carefully before agreeing. If you do not agree, do not submit this form or use our services.

Consent is Voluntary and Can Be Withdrawn

Your consent is entirely voluntary. You are not obligated to provide your personal data or consent to our processing. However, if you do not consent, we will not be able to provide you with access to our services or add you to our waitlist.

You can withdraw your consent at any time by:

  • Deleting your account through your account settings
  • Unsubscribing from marketing emails via the unsubscribe link
  • Contacting us at privacy@veetflow.com to request deletion of your data

Withdrawal does not affect:

  • The lawfulness of processing based on consent before withdrawal
  • Processing based on other legal grounds (e.g., contract, legal obligation)

Special Categories of Data

Do not provide sensitive personal data unless explicitly requested and necessary for the services. Sensitive data includes:

  • Racial or ethnic origin
  • Political opinions or religious beliefs
  • Health or medical information
  • Biometric or genetic data
  • Sexual orientation

If your use of our chatbot services involves processing sensitive data, please contact us at legal@veetflow.com to discuss additional safeguards and enter into a Data Processing Agreement.

Data Security

We take the security of your personal data seriously and implement industry-standard measures, including:

  • Encryption: All data encrypted in transit (TLS 1.3) and at rest (AES-256)
  • Access Controls: Strict access controls and authentication (multi-factor authentication for all staff)
  • Regular Audits: Security assessments and penetration testing
  • Incident Response: Procedures to detect and respond to data breaches

Data Breach Notification

In the unlikely event of a data breach that affects your personal data, we will:

Children's Privacy

Our services are not intended for individuals under the age of 16. We do not knowingly collect personal data from children.
